Dealership Accounting Services
Monthly close, bookkeeping, and financial insight built for dealers.
Two things usually bring dealers to us: the office manager left, or the lender wants financial statements. Both are urgent. Dealership books carry schedules, departments, and inventory accounting unlike any other business, and our team works with them every month. We help you close the books on time, keep your schedules clean, and understand what your numbers are telling you.
We work with franchised and independent stores, powersports, RV, marine, and industrial dealers across Utah.
Month-End Close Support for Dealers on a DMS
Franchised dealers and larger independents keep their books in dealership accounting software such as Dealertrack, Reynolds & Reynolds, or CDK. Your office staff handles daily entries and the factory statement in your system. We work alongside them to close the month accurately:
- Schedule reconciliation. Contracts in transit, vehicle receivables, warranty and factory receivables, and clearing accounts collect stale items that nobody clears. We help reconcile them each month and clean up what has built up.
- Inventory accounting. We work through vehicle inventory, floor plan reconciliation, parts inventory, and aging, which drives both interest cost and write-down exposure.
- F&I income. We check recognition timing, chargeback reserve adequacy, and reconciliation to the products sold.
- Close checklists and timelines. We document a repeatable close process, so your books close on schedule and a staff change doesn't stop the month.
We work with reports and data from all the major dealership platforms. Your system stays exactly as it is.
Bookkeeping and Financial Statements for Dealers on QuickBooks
Many smaller and independent dealers still keep their books in QuickBooks. For these stores, we provide full bookkeeping and monthly close, and we prepare dealership-specific financial statements with the department structure lenders and owners expect:
- Bookkeeping, bank and floor plan reconciliations, and monthly close
- Department reporting for new, used, parts, service, and F&I
- Vehicle and parts inventory tracking and aging
- QuickBooks setup and chart of accounts structured for a dealership
- Staff training, with support from our certified QuickBooks ProAdvisors
When you're ready to move to dealership accounting software, your books will be clean and organized for the transition.
Monthly Financial Statement Analysis
A dealer financial statement holds the answers to most questions about a store's performance, if someone takes the time to read it. Each month, we analyze your statement with you and look at:
- Gross profit and expenses by department
- Service and parts absorption
- Inventory levels, aging, and floor plan cost
- Trends compared with prior months and prior years
Then we tell you what stands out and what to do about it. This work is advisory, which keeps it practical and fast.
Commission and Pay Plan Systems
Dealership compensation is complicated. Salespeople, F&I managers, service advisors, and technicians often each have their own pay plan. We help you design the processes and calculation tools behind commissions and bonuses. That way your payroll provider receives accurate numbers, and your team trusts how they're paid.
Cleanup After a Staff Departure
When an office manager or controller leaves, much of what they knew leaves with them. Schedules go unreconciled, clearing accounts hold balances nobody can explain, and the general ledger drifts away from the last filed return. Cleanup is a common starting point.
We scope cleanup separately from ongoing work, with a defined endpoint, so you know what it costs to fix the past and what it costs to run the store going forward.
Accounting for Affiliated Entities
Dealer groups usually include real estate companies, holding companies, and other related entities, most of which run on QuickBooks. We keep their books current, account for intercompany activity, and make sure rent and other related-party transactions are recorded consistently with the store.
Need a Review or Audit?
Floor plan lenders and manufacturers often require reviewed or audited financial statements. Our dealership audit team handles those engagements.
