If you use QuickBooks for Mac, you may be interested to hear that Intuit announced they will not be releasing any further versions of the Mac version of QuickBooks. If you have an older version than the 2016 QuickBooks for Mac, you are welcome to purchase the 2016 update and Intuit has stated they will support this version until May 31, 2019.

Another option available to you will be to switch to QuickBooks Online. This is a web-based version of QuickBooks and while it looks different from your standard Mac or PC version, there are definitely some perks to switching over. Some of these benefits include being able to access your QuickBooks file from any laptop, desktop, or tablet that has internet access, having regular updates on features without any additional cost, and being able to choose your monthly subscription cost based on how you use QuickBooks.

You also have the ability to import your data from the QuickBooks for Mac version to the QuickBooks Online file so you don’t have to start from scratch. To start the process of exporting your data from QuickBooks for Mac you will need to go the File menu and choose Export to QuickBooks Online. You will then be prompted to sign in to your QuickBooks Online account – or to create an account if you haven’t already. Once that has been created and you have signed in, Intuit will begin the transfer of data and will email you when the import is complete. It is a pretty easy process on your end!

Once the import is complete you will want to compare your standard reports in QuickBooks Online and your QuickBooks for Mac – a Profit and Loss and Balance Sheet would suffice – and make sure they match. If you have options such as payroll or inventory that transferred over don’t be afraid to ask your accountant to review the transfer to make sure all is well.

A couple important things to note before starting your data transfer:

  • When you set up your QuickBooks Online account you have 60 days to import your QuickBooks Desktop data. When that data is imported it will replace and overwrite any existing information, so make sure to do the import first before recording any new data.
  • You need to be logged in to your QuickBooks Online account and your Desktop version as the Administrator in order to initiate the import and export of data.
